September 2008

Dear Client,

Welcome to INNOVATE!, an administrative resource for small business owners. INNOVATE! is a product of Cybertary, a professional Virtual Assisting company. In these monthly emails we will be giving you numerous resources and tips you can use in your business, your home, your office and your life!

Although the next fast-approaching holiday is called Labor Day, the day was originally started as a celebratory "day off for the working man." So we hope you're planning on taking the day (and weekend) off. And celebrating.

In INNOVATE! this month, we're looking for ways to lessen the labor in your everyday. Whether you find a program to track your labor after you read
"It's About Time: Check Out These Time Tracking Alternatives" or you get a little more organized and save your labor after learning to "Organize Your Equipment Manuals," we hope to take a little of that extra heave-ho out of your work life. We've even included a "Create "Margins" of Time" article for you. Make sure to also create margins of time for yourself, because your time is precious.

It is our pleasure to provide ways to make your work and personal life less labor-intensive every month. That's what we're all about here at Cybertary. We hope you have a lovely holiday and a happy and productive September.

Enjoy!

Organize Your Equipment Manuals & Warranties

We love to share our favorite organizing tips here at Cybertary. First, we showed you how to simplify your filing, and more recently, we showed you how to organize your software CDs. Well, this time we want to share a helpful tip for organizing and filing your equipment manuals. This is a really easy tip you can use for filing all the paperwork (manuals, warranties, receipts, etc.) for your small business equipment and peripherals or for your personal appliances and other home electronics.

It's About Time
Check Out These Time Tracking Alternatives

It makes great business sense to invest in a good time tracking program. The right time tracking program can help you dramatically cut down the hours you spend on time management tasks and reporting, which can, in turn, help you increase your business's overall productivity and efficiency.
Time tracking programs, for the most part, are designed to help you track your project and employee work times easily, make client billing and time reporting simple, eliminate the hassle of paper timesheets, create more efficient payroll preparation and more. Many time tracking programs today even offer extra timesavers on top of these important features.

Create "Margins" of Time
By Meggin McIntosh, Ph.D.

"The Ph.D. of Productivity"TM

In this article, I am using Richard A. Swenson's definition of margin as being "the space that once existed between ourselves and our limits. It's something held in reserve for contingencies or unanticipated situations." (This quote is from Swenson's book Margin: Restoring Emotional, Physical, Financial, and Time Reserves to Overloaded Lives).

Since I do seminars and workshops on productivity, time management (a misnomer, by the way), getting your "stuff" organized, etc., I am continually studying these topics and interacting with people in my seminars and via email and phone. I never hear ANYONE say, "Gosh, I have so much time and no real idea what to do with myself." HA! It is of course, the opposite. Everyone is saying, "Yikes, I have way more to do that I can possibly do!" And this is said day after day after day. It's not an isolated feeling.

Book of the Month
September Book - "Our Own Time: A History of American Labor and the Working Day"

D
o you like to read?  Do you like to read but don't let yourself find the time?  Do you have a hard time finding good books? We are featuring this month a new column - Book of the Month.  Each month we will feature a new book that focuses on our monthly theme.

This month, with Labor Day we are featuring "Our Own Time: A History of American Labor and the Working Day".  This book provides the first full account of the movement to shorten the working day in the United States. Combining the narrative and trade union emphasis of traditional labor history with the focus on culture and the labor process characteristic of contemporary labor history, the book offers an illuminating reinterpretation of the history of the U.S. labor movement from the colonial period onward.

Cyber-Quick Tip
Put that File in Several Places...at the Same Time!

Where is that file?  I thought I put it here, or maybe it's here. When I want to find a certain file, I look in the logical place, but it turns out to be in a different folder. I am sure this has happened to you. Did you know you can have it in two places at once? And not just by copying and pasting it into the other folder, because what if you want to make changes? Now that would be a problem.
The solution is simple and not labor intensive at all:

Make a shortcut of the file! Then you can put it in several places at the same time.  Making a shortcut is really easy to do. Right-click the file, select "Create Shortcut", then move the shortcut to where you want it (either by cut & paste or drag & drop). You can then rename it if you want.

Now wherever you open the file from, it will be the same version, and if you make changes it will save to one file. No need to fumble around looking for the most current version.
